What is SharePoint?

OVERVIEW

With Microsoft SharePoint on your PC, Mac, or mobile device, you can:

  • Build intranet sites and create pages, document libraries, and lists.

  • Add web parts to customize your content.

  • Show important visuals, news, and updates with a team or communication site.

  • Discover, follow, and search for sites, files, and people across your company.

  • Manage your daily routine with workflows, forms, and lists.

Sync SharePoint files and foldersCreate and share files in a library

Sync the files in your Microsoft 365 or Microsoft SharePoint site libraries so they’re always available on your computer, even when you’re offline.

Turn on Files On-Demand in OneDrive

  1. In the Windows notification area, select the blue OneDrive cloud icon.

    Note: If you’re on Windows 10, your computer already has the OneDrive desktop app on it, but you’ll need to turn on Files On-Demand in OneDrive settings.

  2. Select OneDrive Help and Settings iconHelp & Settings > Settings.

  3. Select Settings > Save space and download files as you use them.

Set up Sync for your library

  1. In your browser, on your SharePoint site, navigate to the library of files you want to sync with.

  2. Select Sync in the toolbar.

    Note: If your browser asks for permission to use OneDrive, confirm that it’s OK.

  3. Sign in to OneDrive to start syncing your files and finish OneDrive setup.

Work with your files in your file system

  • Once synced, your SharePoint files appear in File Explorer under the name of your organization (or in Mac Finder, if you’re using a Mac).

  • Each location will appear in a separate subfolder.

  • Copy or move files from your computer to SharePoint right from your file system.

  • To check the status of your files, add an account, or manage other sync settings, select the blue OneDrive cloud icon in the Windows notification area.

Work with files in Files On-Demand

After Files On-Demand is turned on, you’ll see new status icons next to each of your SharePoint files. You can copy or move files from your computer to SharePoint right from your file system.

These files are only available when you’re connected to the Internet, but don’t take up space on your computer.

  • Right-click it and select Always keep on this device.

To change a file back to an online-only file:

  • Right-click it and select Free up space.

Create a file

  1. To create a new file, select New and the file type you want.

  2. When the new file opens in your browser, add text, images, and more to your file and it’ll automatically be saved to the document library.

  3. Select down arrow next to the file name to rename the file or select the site name to see the new file in your document library.

Upload a file

From your computer, select the file you want and drag it into the document library.

Share a file

  1. Select the file you want to share so a green checkmark A green checkmark appears appears.

  2. Select Share.

  3. Select an option to share your file:

    • Add the names of people you wish to share your file with. If you want, quickly adjust the editing permissions by selecting the pencil icon on the right. Then type a message and select Send.

      Select the pencil icon to give the recipients "edit" or "read-only" permission.

    • Copy Link creates a direct link to the file that you can share in an email or IM.

Sign in

  • Sign in with your personal Microsoft account, or the account you use for work or school.

Add a new page or section

  • Select + Page or + Section in the left-hand navigation pane.

Rename a page or section

  • Right-click it in the left-hand navigation pane and type a new name.

Open a different notebook

  1. Select Show Notebooks.

  5. In the second drop-down, choose if recipients Can edit or Can view.

Hide authors

  1. Select View.

  2. Select Hide Authors.

  1. Right-click on the section you want to protect.

  2. Select Password Protection > Add Password.

  3. Type the password you want and confirm it.

  4. Select OK to create the password.

  2. Select Password Protection > Lock Section.

    Or, select Password Protection > Lock All Protected Sections to lock all sections with passwords.

Unlock sections

  1. Select a section that is locked.

  2. Type the password.

  3. Press Enter.

Remove a password

  1. Right-click on a protected section.

  2. Select Password Protection > Remove Password.

  3. Enter the password for the section.

  4. Select OK to remove the password.

Multi-factor authentication (MFA) provides increased security because instead of only using a password, or a code through text, a separate app on your phone is used to verify access. This makes it difficult to hack. When MFA is required, members of the organization can use the Microsoft Authenticator app to securely sign in on their devices.

Use the Outlook app on your devices

After an admin has required the front-line users to use MFA then the authenticator app serves as a second form of authentication. We recommend you have them install and use the Outlook app to access their Microsoft 365 email.

Set up multi-factor authentication with a mobile device in Microsoft 365 Business

Watch: Turn on multifactor authentication

1. Go to the Microsoft 365 admin center at https://admin.microsoft.com.
2. Select Show All, then choose the Azure Active Directory Admin Center.
3. Select Azure Active Directory, Properties, Manage Security defaults.
4. Under Enable Security defaults, select Yes and then Save.

Before you begin

  • You must be a Global admin to manage MFA. For more information, see About admin roles.
  • If you have legacy per-user MFA turned on, Turn off legacy per-user MFA.
  • If you have Office 2013 clients on Windows devices, turn on Modern Authentication for Office 2013 clients.
  • Advanced: If you have third-party directory services with Active Directory Federation Services (AD FS), set up the Azure MFA
  • Server. See advanced scenarios with Azure AD Multifactor Authentication and third-party VPN solutions for more information.

Turn off legacy per-user MFA
If you’ve previously turned on per-user MFA, you must turn it off before enabling Security defaults.

  • In the Microsoft 365 admin center, in the left nav choose Users > Active users.
  • On the Active users page, choose Multi-factor authentication.
  • On the multi-factor authentication page, select each user and set their Multi-Factor auth status to Disabled.

Turn Security defaults on or off
For most organizations, Security defaults offer a good level of additional sign-in security. For more information, see What are security defaults?

If your subscription is new, Security defaults might already be turned on for you automatically.

You enable or disable security defaults from the Properties pane for Azure Active Directory (Azure AD) in the Azure portal.

  1. Sign in to the Microsoft 365 admin center with global admin credentials.
  2. In the left nav choose Show All and under Admin centers, choose Azure Active Directory.
  3. In the Azure Active Directory admin center choose Azure Active Directory > Properties.
  4. At the bottom of the page, choose Manage Security defaults.

Choose Yes to enable security defaults or No to disable security defaults, and then choose Save.
If you have been using baseline Conditional Access policies, you’ll be prompted to turn them off before you move to using security defaults.

  1. Go to the Conditional Access – Policies page.
  2. Choose each baseline policy that is On and set Enable policy to Off.
  3. Go to the Azure Active Directory – Properties page.
  4. At the bottom of the page, choose Manage Security defaults.
  5. Choose Yes to enable security defaults and No to disable security defaults, and then choose Save.

Use Conditional Access policies

If your organization has more granular sign-in security needs, Conditional Access policies can offer you more control. Conditional Access lets you create and define policies that react to sign in events and request additional actions before a user is granted access to an application or service.

Conditional Access is available for customers who have purchased Azure AD Premium P1, or licenses that include this, such as Microsoft 365 Business Premium, and Microsoft 365 E3. For more information, see create a Conditional Access policy.

Risk-based conditional access is available through Azure AD Premium P2 license, or licenses that include this, such as Microsoft 365 E5. For more information, see risk-based Conditional Access.

Turn on Modern authentication for your organization

For most subscriptions modern authentication is automatically turned on, but if you purchased your subscription before August 2017, it’s likely that you’ll need to turn on Modern Authentication in order to get features like Multifactor Authentication to work in Windows clients like Outlook.

  1. In the Microsoft 365 admin center, in the left nav choose Settings > Org settings.
  2. Under the Services tab, choose Modern authentication, and in the Modern authentication pane, make sure Enable Modern authentication is selected. Choose Save changes.
